Job Description

I am looking for someone to join a big construction corporation as a PA for 7 months Maternity cover.

There is an opportunity for this position to go permanent after the 7 months.

I am looking for someone who has 2 years experience in PA work, that can drive and that is wanting to work in a growing company.

Experienced PA working at a senior level, able to demonstrate high competence and integrity in interfacing with senior leadership both internally and externally. Experience of working in a large complex organisation is essential.
Excellent planning and organisation skills, demonstrates flexible and effective time management capability and is adept to working to tight deadlines. Key to this is gaining an understanding of the business context and understanding the priorities of the leadership team.
Excellent relationship building skills in order to interact effectively with all stakeholders, across all levels of the organisation. Is an ambassador for all UK Finance and the Leadership Team.
Demonstrates ability to manage correspondence effectively and in a timely manner. Key to this is managing email correspondence intelligently.
Excellent written and oral communication, with a strong attention to detail including numerical detail. Evidence of analytical ability and how this has been applied in previous PA roles.
Fully computer literate and highly competent with Word, Excel spreadsheets, Power Point, SharePoint and databases. Key to this role is the ability to support with high quality slide decks, for presentations at a senior level.

Organise and manage the diary, ensuring that all appropriate papers, documents and presentations etc. are made available within appropriate timescales for all meetings.
Undertake business travel and accommodation arrangements, with varying degrees of advanced notice.
Control and screen calls and visits, whilst ensuring access when required.
Undertake confidential typing of letters, memos, and minutes as appropriate.
Receive incoming mail, identifying priority items, acknowledge correspondence, answer routine queries and re-route correspondence to appropriate section.
Scheduling meetings and conferences for the team, focusing on minimising cost and ensuring good customer service in organisation.
Providing secretarial support to team meetings as appropriate, including ensuring all actions are progressed and completed within appropriate timescales.
In liaison with other PAs and administrators to ensure consistent standards and processes for admin and correspondence activities within the team.
Attend meetings and take notes as required.
Provide cover as required for other secretaries and administrators as appropriate.
Implement and maintain administrative systems to optimise the performance of the team.

Working hours

Mon-Thur 0830 - 1700
Fri 0830 - 1600

Pay is £13.47 per hour.
