We are currently recruiting for a Research Administrator and PA to work within a higher education organisation

Main duties include, but are not limited to:

Research Administration
To proactively manage information and support activity across the research program of the designated research group leads. To advise and support the two research groups as to correct process for administrative tasks such as purchasing, travel, expenses etc.

To be responsible for monitoring project finance, student progression and reporting. This will involve record keeping and analysis of data in a variety of formats, monitoring budgets and reporting. It will also involve liaising with the teams' collaborators and partners (both academic and industrial) and the Finance Office at the University. The postholder will be expected to proactively identify and resolve any problems.

Assist in the organisation of research events, such as conferences and workshops. Coordinate, arrange and allocate tasks for other staff involved, including ensuring there are sufficient resources available for events

To be responsible for highlighting any concerns across all areas of the role and making recommendations on managing/resolving more complex situations.

To apply well developed problem solving skills through the application of initiative and judgement when solutions are not obvious.

To use comprehensive knowledge of administrative or operational processes to contribute ideas and innovative solutions to improve processes.

Personal Assistant Duties
To provide a full personal assistant service to designated research group leads, including maintaining their diaries, arranging meetings, prioritising and allocating time for meetings and appointments, using own discretion and judgment, thinking ahead to anticipate problems and, as necessary, preparing solutions for consideration, booking travel and making hospitality arrangements. Provide support on occasion to the research groups.

To respond on own initiative to emails and post sent to the research group leads.

To use extensive knowledge of University policies, procedures and systems, researching, developing and managing systems which will ensure that work is carried successfully to completed deadline.

To continually review the administrative systems used to support the research groups leads work and their research groups, recommending and implementing improvements, identifying problems and providing solutions.

To provide the focal centre for communication for the research group leads for both internal and external contacts and promote good working relationships with their contacts, both external and internal, ensuring that correct protocol is observed. Provide administrative support for visitors and collaborators including travel support, expenses, accommodation.

Using own judgment to assess which items should be actioned by the postholder or other staff without reference to the research group leads and ensure that the remaining correspondence is prioritized and divided into action and information. Proactively bringing up appropriate background papers, prioritising what is important for their immediate attention, ensuring urgent messages reach the research group leads, composing own replies and drafting responses on their behalf for their signature.

To collate relevant papers and material for, conferences and maintain an effective bring forward system.

To monitor research budgets, checking all expenditure across several headings against the amounts expected to be spent.

To assist in the administration of recruitment of staff, ensuring correct procedures and records are maintained, in conjunction with the Head of School PA and School Administrator.

To undertake any other tasks, across the College as a whole that might reasonably be asked by the Head of School or Operations Manager and are suitable by way of knowledge and experience, or can be achieved by a programme of re-training.

To carry out such duties and responsibilities as may be required from time to time and which are commensurate with the grade and nature of the post.

Person Specification
Substantial experience in administration
Experience of working with financial systems
Experience proof reading and editing technical documents
Able to plan ahead on a daily or weekly basis
