Responsibilities for the role of Office Assistant
' Front Desk - Reception Management
' Answer Company Phones - Take Messages etc
' Manage Company QA System - Liaising with Quality Manager
' Processing Company Timesheets
' Working with Accounts Dept - And Accounts Manager
' Document Management - Ensure that the Company's Filing System is maintained.
' Manage quote log and maintain up to date sales quotation files.
' Working with Sales Dept in producing company quotations, Tender returns etc
' Compile Operation & Maintenance Instruction Manuals - Ensuring that manuals are accurately produced on time in conjunction with the Engineering Manager. Update Manual Postal Log to keep record of Manuals completed & dispatched.
' Franking and posting company mail.
' Photocopying, Faxing & Scanning when necessary.
' Log Production Hours
' Log Fuel Receipts
' Assist with Purchase Ledger Queries
' General Administrative Duties
Skills and experience required for the role of Office Assistant
' Previous experience required.
' Good all-rounder with competent literacy and numeracy skills
' Organisational ability and able to multi-task and meet time deadlines
' Good communication skills
' Confident use of IT
' Flexible and willing to take on a diverse range of duties
