To enable, develop and continuously improve the delivery of high quality administrative services for the academic community at Institute and School levels, delivering effective solutions to complex problems and ensuring excellent customer service.
Manage and develop administrative support staff across 6 Institutes in the School to ensure that an efficient and responsive service is provided. Includes recruitment, training, development, effective allocation of resource, providing pastoral care and addressing any performance issues. Areas of academic support include effective delivery of Institutes' events, meetings, communications, web presence and support for Institute Director and key academic staff members, including travel management.
Advice and guidance
Provide expert advice and guidance on administrative processes and policies to academic and professional services staff in the School.
Develop and maintain documentation and information for staff on the School internet and intranet, such as standard administrative process materials and "how to" guides.
Requires in-depth knowledge of University's and School's processes, procedures and policies in administrative services, such as expenses processing, organisation and purchasing of travel, assisting with events management, assisting with diary management, and procuring supplies.
Identify and implement opportunities for continuous operational improvement. Lead on selected School projects concerning administrative services, assuring best practice, efficiency, transparency and resilience, promoting knowledge exchange and sharing best practice. Includes design and facilitation of short or long-life working groups, and embedding new processes and procedures in line with the University's and School's requirements.
Management information & data management
To provide management information in the area of administration. Ensure data security and GDPR compliance is followed by the Institutes' administrative services team and any colleagues accessing confidential materials.
Liaison and representation
Represent the School at relevant College and University meetings, participate in workshops and as a member of project teams. Take opportunities to build relationships with relevant staff in other Schools and across the University. Maintain current knowledge of policies, processes and regulations and undertake professional development.
Deputisation and special projects
To deputise for the Head of Finance and Administration on administrative matters where necessary. Any other duties as required by line-manager, Head of School or Director of Professional Services.
Educated to HNC/HND level standard or equivalent experience
Significant experience of managing staff and projects, preferably in an HE environment
Track record of successful customer services provision
Experience of staff recruitment, training and development
Excellent written and oral communication skills
Excellent analytical skills and good IT skills (especially Excel and databases).
Good influencing, interpersonal and time management skills.
Main elements that are required are line management of the staff and review of processes within the team
Substantial experience of interacting with University of Edinburgh systems;
Experience of identifying needs for business process improvement, and actively contributing to such improvements.
