Job Description

Pertemps Scotland Ltd are working with our client in Stirling to recruit for a Team Co-Ordinator on a temporary basis for around 3/4 months. The role are full time and the rate of pay is £23,973 per annum

To provide with administrative support, building and managing processes and procedures which provide effective business administration. This role is one of a team of administrators who are responsible for running the day-to-day records and information operations, employing skills in problem solving and developing practical solutions to ensure business records are consistently stored and accessed. The role will be embedded within a programme department and contribute to various projects and initiatives.

Core Accountabilities
  • Working to the direction of the Office Manager and with dotted line management to the appropriate Head of Department:
  • Create and manage document templates for a variety of administrative functions. Work closely with the HR, Procurement, Finance, Grants teams to manage their processes and templates and make suggestions for continuous improvements;
  • Develop and manage department/team document libraries ensuring staff are storing documents using consistent and agreed naming conventions. Documents may be stored in paper files as well as electronically and the team co-ordinator is responsible for maintaining accurate records of all formats;
  • Manage record retention schedules, ensuring records are disposed of securely in line with the ZWS retention model;
  • Collate monthly reports to government on behalf of the department and submit to the Head of Business Planning. Develop process for managing reporting deadlines for all business reporting to ensure colleagues are providing data as needed;
  • To actively contribute towards the management and delivery of Team projects by co-ordinating related activities as may be determined from time-to-time by the Programme Manager;
  • Provide diary management to Head of Programme. Manage email inbox as and when required;
  • Book travel and accommodation for all team members;
  • Contribute to continuous improvement of business systems, procedures and processes working collectively with the Administration Team;
  • Take on some smaller projects and see these through to completion in conjunction with the relevant Programme/Project Manager;
  • Assist with the organisation and planning of events and training sessions. Attend, where necessary, to help with registration and guest management;
  • Work with the other Administration Team members to support each other's work, providing assistance and cover when necessary including working at Reception;
  • Support for the tender and capital grants processes as requested.
  • Undertake other related tasks as determined by the Administration Manager, Programme Manager or the Chief Executive

Skills required:
  • Key member of the Administration Team, focusing on creating robust and effective processes for business information management
  • Support the programme department by developing a detailed understanding of their objectives and providing project planning guidance to ensure work is delivered on time and to a high standard
  • Monitor records management processes to ensure consistency of information captured and stored across the business. Manage password protection as required
  • Focus on continuous improvement, reporting to line manager opportunities to improve administrative processes and deliver high quality procedures
  • Evidence of excellent administrative skills
  • Good keyboard skills
  • Excellent skills in prioritising and planning workload
  • Excellent interpersonal skills and professional manner
  • Experienced in handling and respecting confidential information
  • Experience of working within teams.
  • Competent IT user with demonstrable evidence of Microsoft Applications.
  • Knowledge of recycling and/or environmental issues
  • Knowledge and experience of databases
  • Experience of recruitment administration
