Job Description

We are looking for a Full-Time Receptionist to join a well established company based in Holborn This is a rare opportunity to join a fantastic team . Previous experience in a
similar role would be an advantage.

Key responsibilities:

Receptionist
London - Holborn
6 months fixed term Contract
£20,000 - £23,000 a year

Overall accountability:
• Day-to-day management of reception
• Meetings and room bookings
• Administrative support
• Data management
• Event management support

Key areas of responsibility:
Day-to-day management of reception
• Greeting and looking after visitors, offering refreshments
• Manage visitors' book and ensure it is filled in correctly
• Answering incoming calls and managing enquiries
• Responding to emails
• Manage content on reception welcome screen
• Ensure a neat and tidy office environment
• Ensure photocopier/printer is stocked with paper
Meetings and room bookings
• Manage internal and external room bookings system
• Ensure meeting rooms are prepared ahead of meetings, to include equipment, IT, meeting papers, refreshments and lunches
• Tidy rooms after meetings to be ready for next booking
Administrative support
• Provide administrative support to staff
• Ensure smooth running of office administration and facilities, including but not limited to incoming and outgoing post, sourcing couriers, stationery/office equipment, kitchen/catering supplies
• Manage OTC Directory requests, process payments and dispatch copies
Data management
• Data input and management of CRM database
Event management support
• Liaise with delegates over bookings for training events and workshops
• Collate and disseminate papers and delegate packs as required
• Support the delivery of events, seminars and conferences
Any other task reasonably requested by the HR & Administration Manager, Directors or Chief Executive
Person specification:
• Responsible and reliable
• Friendly and welcoming
• Excellent organisation skills and attention to detail
• Good communication skills with a working knowledge of IT software, including Outlook, Word, Excel, PowerPoint, Adobe
• A self-starter able to work both on own initiative and as part of a team with a commitment to excellent customer service
• Ability to be flexible, respond positively to change, and work effectively under pressure
This is a six month fixed term contract, with the possibility of a permanent position thereafter
