Job Description

Working Year/Hours: Term Time Only

(36.8 weeks, working 08.30 am to 17.30 pm, Monday to Friday,

Salary Scale: £27,000/annum, pro rata (£21,414) 


Working as part of a wider team the Print room operator/administrator will be responsible for  managing and producing printed materials for use across the campus as well as working with  the Estates Co-Ordination Manager to manage the College space booking software.  They will also be required to perform both parts of this job concurrently during the course of  the working day. 

Core Duties: 

Manage administrative processes and records to reflect the high standards of the College in  areas including, but not limited to: 

Section 1 

To be the first point of contact for the booking of space in person, by telephone and  especially via the College online space booking system/help desk software. This  work is detailed and must be given due care and attention.  

Escalate any booking requests that may cause a logistical issue to the Estates Co ordination Manager 

Run reports from this software as required to identify specific demands on space or  time. 

Work with the Estates Co-ordination Manager & Director of Estates to develop a  framework to manage space on campus in order to maximise use as well as to manage  maintenance requirements and other operational needs.  

Section 2 

To manage a busy print room helpdesk and fulfil printing requirements of the College. To manage stock in the print room and report on usage where required. To liaise with the Facilities and Procurement teams to ensure effective delivery of stock  and printed assets. 

To monitor and report on departmental usage of the print facilities 


All training in the necessary software will be provided. 

Additional Duties:

The additional duties will consist of scheduled tasks plus whatever duties are required  according to the needs of the College. Flexibility is essential. 

To carry out any other reasonable tasks or duties requested by the Estates Co-ordination  Manager & Director of Estates or in their absence the Chief Operating Officer  


Essential Experience: 

It is essential that you are able to demonstrate that you have previously worked in an  effective administrative role, with a focus on achieving the desired end results to a high  standard.  

Experience of working in a customer focused environment. 

Must be comfortable working with task-specific software, training in which will be  provided. 

Print room experience would be a strong benefit 

Desirable Qualifications and Experience: 

Prior experience of working in a school would be helpful. 

Prior experience of working within a Facilities Team. 

Prior experience of space management or a help desk based role. 

Educated to Degree level or suitably experienced 

Essential Skills and Abilities 

Ability to work alone and unsupervised from own initiative. 

Ability to prioritise and multi-task effectively  

Excellent verbal communication skills. 

Willingness to learn and to ask questions 

IT literate. 

Initiative in dealing with any problems that may arise whilst on duty and communicate  effectively

Holiday Entitlement: 20 days per complete year worked increasing to 25 days after  completion of 5 years' service. Holidays to be taken during school holiday periods.

References: The appointment is subject to receipt of references satisfactory to the College. 

Police Clearance: The appointment is subject to police clearance as required by law for the  protection of children and to compliance with proof of identity and addresses over the last  five years in accordance with the stipulations laid down by the Disclosure and Barring Service. 

Probation Period: 6 months, with an interim review after 3 months at which time the position  will be reviewed. In case of illness during the probation period, statutory sick pay only will be  applicable. 

Period of Employment (if applicable): Permanent, Full Time.
