Payroll Clerk required to work within a leading University

Main Duties
Undertaking all aspects of new starters and leavers for the necessary payrolls adhering to a strict timetable as follows:
1. New starters. This includes:
• assessing the information received from Human Resources
• setting up on the system ensuring the correct Statutory and other deductions are applied
• completing and forwarding documentation to the Inland Revenue
• ensuring the payment is checked and correct

2. Leavers. This includes:
• assessing the information received from Human Resources
• terminating them from the system and ensuring any final amounts due are paid
• completing and forwarding documentation to the Inland Revenue
• ensuring the final payment is checked and correct

Validating, calculating and inputting adjustments to levels of pay including fees, salary changes, voluntary deductions and overtime for the relevant payroll, and adhering to a strict timetable as follows:
• validating and reviewing the requests for additional payments from departments and Human Resources
• calculate elements of pay accurately and input to pay correct employee
• check account code to be paid from and input to the system

Calculate and input SMP, OMP, SSP, OSP, SAP and SPP to the system as follows:
1. SMP, OMP, SAP and SPP. This includes:
• assess the Maternity forms received from Human Resources ensuring the correct forms are attached
• thorough knowledge of the appropriate legislation is required
• calculate the entitlement for the relevant leave and input the details on to the system
• ensure the payment to be made is correct

2. OSP and SSP. This includes:
• input details from the sickness and absence returns received from departments onto the system
• check reports issued from payroll prep runs to establish when staff are due to exceed sickness entitlements
• inform Human Resources each month of any such cases

Calculate and input allowances and deductions. This includes:
• arrears of pay and part month adjustments due to salary changes
• various allowances and deductions as notified by Personnel

Dealing with complex personal, telephone and written queries for which legislative knowledge is required. This includes:
• handling a large number of telephone queries from employees, departments and governing bodies
• dealing with personal enquires at the payroll counter
• completion of enquiry forms from governing bodies and external agencies

Complete payroll functions for external and scholarship payrolls:
• including liaison with the company representatives to validate pay adjustments and undertaking all payroll activities for the companies concerned
• Scholarships for a number of schools including liaison with the Schools and the accountants to ensure that payments can be made correctly when funds are available.

Knowledge & Skills Required
• A thorough knowledge of using an integrated payroll and Human Resources system is required.
• Knowledge of Higher Education and its business environment.
• Knowledge of Excel and Word applications.
• A knowledge of dealing with USS, NHS or a local government pension scheme would be preferable
• A high level of accuracy and attention to detail
• Excellent organisational and time management skills
• Ability to be adaptable and flexible in approach to work, including a commitment to work flexible hours in order to give best customer service
• Ability to use your own initiative and problem solve.
• Excellent communication skills, both written and verbal, tact, discretion and patience are essential as are excellent interpersonal skills.
• Excellent team-working skills
• Ability to work under pressure and meet the strict deadlines
• Respect for confidential information.

Experience Required
• At least two years previous of working in a payroll office working in a similar role.
• Ability to prioritise workloads in the face of conflicting demands, using own judgment to ensure the work is completed to time and deadline.
• Experience of developing good working relationships with colleagues, showing understanding of interdependencies that affect the work of other staff within the organisation.
