Job Description

PA/Executive Assistant As PA/Executive Assistant you’ll provide full administrative support to Group Director of IT & Business Systems, Compliance Director & DPO, Vice President & General Counsel – Grainger and Chief Financial Officer – Grainger. A particular focus will be diary management and fielding of correspondence (generally from Outlook inbox). You’ll also arrange travel and accommodation, prepare presentations and other documentation, take minutes at meetings when necessary and deal with general correspondence. Main duties and responsibilities: Field Directors’ emails, telephone calls and post (incoming & outgoing) Diary management Organise travel & accommodation arrangements Prepare correspondence, reports and presentations ensuring the work is accurate Book and arrange meetings ensuring all attendees have the relevant information. Minute take and type recording of meetings and distribute Compile expense claims reports(s) Work on projects as agreed The Ideal Candidate: Proven experience within a similar PA / Executive Assistant role PC literate in Microsoft applications including Outlook, Word, Excel & PowerPoint Good communication and interpersonal skills - able to build rapport with key stakeholders, also also able to challenge / question constructively when required (i.e prioritise requests for meetings) Self starter / self managed with initiative and common sense (locations v's travel times for journey etc) Highly organised with effective time management Previously worked in an environment where confidentiality is important It would be desirable to have an interest or some exposure of HR.
