Job Description

Due to expansion, my client are looking to hire a permanent Medical Administrator to join a fantastic organisation. This successful candidate will be keen to progress and develop towards becoming a Medical PA. A great opportunity for someone who is looking to move into the private sector.

The offices are Grade ll listed and you will be presented with beautiful views across the Chilterns.

Duties

1. Accurately type clinical correspondence, medical reports etc for allocated GP(s) – full training given to those inexperienced in the area
2. Liaising with Consultant personal assistants to manage timely referrals
3. Assisting the Patient Services team with answering the telephone and dealing with queries as per the protocol
4. Receive telephone messages and queries and deal with them efficiently.
5. Manage incoming emails, mail and direct appropriately.
6. Taking card payments from patients
7. Updating the practice log to manage the flow of referrals etc.
8. Documenting in the patient’s records and ensuring an accurate record of actions and follow up
9. Assisting the admin team answering phones, making appointments, taking payments etc
10. Arranging meetings and scheduling for GP’s (manage any recurring meetings)
11. Recoding records from data transferred from clinical software and ensure documents are filed under the correct heading.
12. Follow up with assigned GPs on Death Reporting ensuring the spreadsheet is completed in a timely manner.
13. Ensure all compliance requirements are up to date including policies and training requirements, and the completion of minor incident spreadsheets as required.
14. Ensure complaint forms and allocated paperwork is completed by allocated GP in the event of complaints or events.

The post holder will be expected to undertake a variety of duties and the above is designed to provide an example of typical day-today activity.

Qualifications; experience and skills

* Educational achievement to at least GCSE level (or equivalent) including English Language and Maths

* Experience of typing or audio typing, however, full training will be given

* At least 2 years of high end customer service and administration experience within the healthcare sector

* Computer literate, able to use a range of software programmes including Microsoft Word; Excel and Outlook. The ability to learn new IT software quickly (with training)

* First Class communication skills

* Excellent organisation skills

* Good typing skills – ideally 50 wpm

* Knowledge of medical terminology is desirable
