Job Description

Service: Head Office
Grading: Band D (Level 1-10)

Summary of Main Duties and Responsibilities
To take responsibility of managing the HR Office and ensure processes are running smoothly and time effectively
To take line management responsibility of the HR Administration Team
To manage recruitment campaigns and source the correct candidates for the roles
To handle all ER issues and advise Managers on policies and procedures

Job Specific:
1. To handle all employee relations queries including, disciplinary hearings, grievances and appeals, to be present at the meetings when required
2. To check all paperwork that leaves the HR Office
3. To draft job adverts as required
4. To draft Job Descriptions and Person Specifications as required
5. To take an active part in the onboarding process including conducting interviews
6. To support the Admin Team in ensuring all pre-employment checks are in place for new starters
7. To work effectively within the management team
8. To maintain DBS records for the organisation
9. To assist managers with risk assessments, both health and criminal
10. To maintain all absence records for the organisation
11. To support Managers with absence issues including long term and short-term sickness
12. To assist Managers with performance improvement plans for underperforming employees
13. To support Managers with investigations and provide crib sheets when needed
14. To handle all maternity leave queries and process all requests for maternity leave
15. To process contract amendments for existing staff members
16. To draft Contracts for new employees using a standard template
17. To shortlist candidates for roles
18. To conduct external research as required (for example a competitor analysis)
19. To maintain employee records
20. To manage a busy HR inbox and oversee a busy Recruitment inbox
21. To conduct regular supervision for the HR Administrators
22. To work closely with the Senior Management Team providing specialist advice when needed
23. To attend employment tribunals on behalf of the organisation

Training and Development:
1. To ensure that all mandatory and service specific training is attended and that you actively participate and contribute to any training undertaken

Progression through grading bands
The post is career graded and progression through the bands will require the post holder to deal with increasing levels of responsibility, complexity of work and degree of emotional demand appropriate to each band.

Flexibility Clause
All staff are expected to work in a flexible way when the occasion arises, ensuring that tasks not specifically covered in their job description are undertaken. These additional duties will normally be comparable with the regular type of work
