Job Description

We are recruiting for an Executive Team Manager to work within one of the UK's leading Universities

This role requires the post holder to provide specialist advice and support to the Head and Deputy Head of Operations in the continuous monitoring, review and enhancement of the School’s administrative systems, communications and projects.

Main Duties
• To work closely and flexibly as part of a team of School Professional Services Managers to deliver the business needs of the School and the evolving operating environment.
• To act as Executive Assistant to the Head of School providing a highly professional first point of contact.
• To proactively support the Head of Operations and Deputy Head of Operations with respect to core School projects and other activities, eg, support with Equality and Diversity.
• To be responsible for committee secretariat support to the School Management Team meetings (SMT) meetings and follow up actions.
• To line manage three administrators being responsible for their PDRs, professional development and training.
• Lead the School’s administrative team in pro-actively fostering effective, flexible and efficient administrative interfaces across the College and University offices to help provide co-ordinated services to academic staff and senior administrators in the School.
• To manage a first-class administrative service provided to the School’s Senior Management Team, including any relevant duties entailed within providing this service. Reviewing the support staff workload and advising on the most appropriate use of resource across the School.
• Contribute significantly to the planning, development and enhancement of the School administrative team, highlighting best practice and suggesting and delivering appropriate changes to systems and processes where necessary.
• Motivate the team, being responsible for staff engagement, ensuring staff attend regular meetings and participate in full team briefings as appropriate.
• Take a global perspective of staffing arrangements within the School administrative team, working with the Executive Assistant to devise operational plans for coping with short/long term absences (eg, annual leave, sick leave, etc) and planned and unplanned fluctuations of work across the team.
• Annually undertake an audit of training and development activities to identify potential areas of further training and development.
• Lead on the recruitment of new staff, drafting and revising job descriptions, shortlisting, interviewing and induction programmes for new members of staff.
• working with the Executive Officer and Executive Assistant.
• To proactively assist the Deputy Head of Operations to plan, monitor and implement facilities, Health and Safety and office moves within the School and to take remedial action when necessary. To ensure all new starters in the School are processed and have access to the appropriate facilities

Required Knowledge, Skills, Qualifications, Experience 

Essential
• Clear Effective leadership experience and line management experience
• Significant customer service experience and be committed to leading, supporting and coaching the team to drive performance and deliver an outstanding service at all times
• Experience of managing a generic email box would be ideal
• Proven ability to develop creative approaches to problem solving, to negotiate and influence others.
• Monitoring, reviewing systems and processes and promote new ways of working 
• Demonstrate excellent written and verbal communication skills, including establishing effective working relationships with a wide range of people, and the ability to work as part of a team.
• Proven ability to work on own initiative with minimal supervision, manage a diverse workload, anticipate problems, work under pressure and to tight deadlines, determining priorities and managing conflicting deadlines.
• Demonstrate ability to handle several demanding tasks concurrently and to prioritise own workload and that of others.
• Proven ability to develop creative approaches to problem solving, to negotiate and influence others.
• Knowledge of project management approaches and ability and enthusiasm to interact with staff at all levels in promotion of the School.
• Proven ability to analyse situations, using this to formulate clear proposals/outcomes.
• Highly motivated with a flexible proactive approach to change and have proven change management skills.
• Experience of developing processes and systems to deliver customer focused services.

Desirable 
• Experience of working within administration in a Higher Education institution
• Team leading/management qualification
• Experience of managing and leading change
