Maternity Cover (10 Month FTC), Full Time

A modern, progressive and commercially-oriented City legal services business. With offices in the UK, Hong Kong and Singapore this clients provides advice to both UK and international clients.

Role overview
This is a Maternity cover role for 10 months you will work in busy and dynamic events team.The core events team forms part of the companies Brand Marketing & Sales (BMS) department with the successful applicant reporting directly to the Marketing & Events Manager. This role supports the events function as well as the wider BMS team.

The events team runs all of the external and internal events for the London office. This ranges from boardroom style seminars for 20 people up to large conference-like seminars for 100 people. Predominantly run onsite but with a number of seminars run offsite throughout the year. The team arranges a number of offsite client entertainment events such as a rugby day, large client parties and a ballet event, as well as the internal summer and Christmas parties.
Given the nature of event management, the successful candidate will be required to attend ad hoc out of hours events.

Key responsibilities
Supporting the Events Manager across all events activity, from seminars and roundtables to client parties and internal conferences, by:

Liaising with Business Development colleagues to produce invitations
Taking and delivering event briefs from the Business Development teams / relevant Partner in terms of location, type of event, numbers, target audience, budget, catering, layouts, etc.
Liaising with our CRM team to compile invitations and mailing lists
Updating mailing lists - adding/removing contacts to lists, updating contacts information using InterAction
Sending invites and events related mailings using Vuture
Liaising with internal and external event suppliers (including but not limited to IT, AV, catering, facilities management)
Listing events on the website using Sitecore
Preparing badges and attendee lists
Operating on-site registration and events support

Collating feedback following on from events
Organising debrief meetings (where necessary)
Using our internal systems to track numbers and attendees
Researching venues, client entertainment and corporate hospitality ideas
Updating the events space on the firm's intranet (EDGE) with upcoming events, post event information and other relevant information (for example client entertainment ideas) Other tasks on broader marketing projects for the wider BMS team (as required) - for example, posting content to EDGE, the firm's intranet

Knowledge, skills and experience
At least one year working as part of an events team in a professional environment. Professional services experience not essential. Must be / have:
