Events Co-Ordinator - EG - London / Hybrid - 12 Month Fixed Term Contract - Maternity Cover
Summary:
This is a fantastic opportunity for an experienced event co-ordinator to join a highly reputable business that encourages career progression and offers excellent rates. You will be responsible for logistically managing a variety of events for EG, including awards ceremonies, conferences, and meetings both in the UK and overseas. You will work with events, sales, and marketing teams to produce world-class events that are targeted by revenue, strategic-growth, lead generation or product-enhancement.
Key responsibilities:
* Ownership of portfolio of events as required
* Planning, project management and execution of multiple events from start to finish
* Research and manage venues and suppliers, and negotiate both contracts and costs that are favourable to the business
* Arrange AV company pitches and work closely with the selected suppliers to ensure all objectives are met
* Act as primary contact for speakers, sponsors, exhibitors and suppliers
* Produce floor, table and seating plans as required
* Produce individual event budgets and reforecasts, for sign off. Communicate effectively with finance and Head of Events to ensure that all events are delivered within budget
* Produce all onsite promotional material
* Produce correspondence for awards entrants, speakers, and delegate joining instructions as required
* Work closely with sales team to deliver on partnership proposals. Lead on communication with partners to ensure efficient follow-up
* Ticket and badge fulfilment with joining instructions, includes proof reading of delegate lists
* Production and proof reading of header slides
* Run events onsite and take full responsibility of operations
* Ensure all categories for Awards have sufficient entries. Flag any risk in suitable time, and effectively research new entrants to increase entries year on year
* Manage the table bookings for EG Awards and EG Tech Awards and ensure table sales revenue target is met
* Project manage Customer Advisory Board meetings
* Produce valuable post-meeting minutes to be used by SLT & marketing as a roadmap
* Assess and analyse risks associated with COVID-19 in relation to future events and make recommendations of planning of virtual and in-person events
Experience / skills:
* Excellent organisational and coordination skills
* Communication – outstanding written and verbal ability to communicate
* Multitasking and task prioritisation skills
* Outstanding customer service
* Knowledge of the CRE industry is an advantage
* Skilled with spreadsheets and organisational tools to record and communicate the tasks required for delivery of events
* Business experience and commercial understanding
* Experience in collaborating with partner organisations and engaging supporters
* Experience in organising a variety of events, including awards ceremonies and conference
* Experience in working to project management principles
* Proven team player - ability to work with a team and achieve daily and monthly goals
