International beverage company is seeking an experienced EA / Team Assistant to provide support to their Finance Transformation team at their Uxbridge offices:

This is a temporary role to start ASAP for an initial 6 month period and will pay circa £18.00 per hour.

The EA/Team Assistant will perform a variety of administrative and clerical tasks providing secretarial support to the entire team, managers and employees. Duties include:
  • Prepare internal communications and support the creation and formatting of presentation decks for the VP, Finance Transformation and Director, Treasury Risk Management.
  • Manage confidential documents for the Corporate-wide Shared Service Centre and Finance Transformation team
  • Provide coordination support for the Finance communication and Risk Management Forums
  • Scheduling, organisation materials in preparation for the meeting and ensuring the required technology support in collaboration with the appropriate departments
  • Consolidate information and reporting, monitoring the raid log risk reviews and weekly Project meeting slides
  • To organise travel and related bookings and meetings including: document provision, visitor requirements (meet and greet, security, access, food and drink, travel-taxis etc.) for the VP and team
  • Support department events, meetings or workshops as required, working in partnership with other departments if necessary
  • Coordinate opening up new vendors and payment of department invoices to be paid, raising POs/invoicing, manage expenses and manage of Team sites such as SharePoint
  • Act as a point of contact for internal and external clients wherever required
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
The ideal EA / Team Assistant will have the following knowledge, skills and experience:
  • Proven experience as an administrative assistant, office admin assistant, EA
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
