My client is a leading Utilities connection company with the head office based in Stonehouse, Gloucestershire, a London branch, a Warrington branch and various depot's nationwide. They currently have 235 staff and a turnover of £34m. They are looking to recruit a Technical Documentation Manager to provide an effective and efficient administrative service to the Estimating and Design departments. For Estimating, this could include performing the applications, tracking applications and chasing responses where necessary. In Design, this could include assisting with the acceptance of offers, tracking expiry dates and chasing the client(s) for vital information. The department is relatively new, having been set up 18 months ago. Your role will include but not be limited to managing a team of 6 across 2 offices, Stonehouse and London with the Warrington office soon to be furnished with a Technical Administrator (TA) also. Main duties include visits to the other office, daily trouble shooting issues, monitoring vital items and raising new processes, ensuring sufficient training for a smooth team implementation. Monitoring and maintaining a high department performance standard of tasks including the upkeep of the vital department trackers from which some KPI's are driven.
●Managing x5 TA's and x1 London Receptionist across the Stonehouse and London Offices.
●Visiting the London office to support the 3 staff based there.
●Monitoring the TDD systems such as the department trackers
●Monitoring processes and updating procedures according to changing requirements
●Training team with new processes released/updated
●Utilising the In Sight system for daily reports/KPI's
●Working towards the continued growth of the In Sight system to provide better and more detailed reports
●Ensuring TDD effectively supports the Estimating and Design departments across Stonehouse, London and Warrington offices.
●Capturing missing applications v New projects raised and notify Estimating Manager
●Capturing outstanding awarded projects yet to be handed over and notify Estimating Manager
●Perform Bi-Weekly phone updates with DPE's in accordance with Design Tracker
●Design Project Allocation to TA's
●Monitor and remind Design Planning Manager's/Accounts Manager of offers due to expire
●Update Focal Point in accordance with Business Development Engineers' updates
●Troubleshoot daily issues raised such as chasing outstanding items with DNO/GDN/IDNO's/Colleagues
●Assisting the Director with any requirements, as and when required.
●Implementing new processes to develop and improve the service of the department
●Previous experience in the utility sector desirable but not essential
●Willing to Travel
●Very strong organisational skills are essential
●Attention to detail is vital
●Strong Communication Skills
●Sound working knowledge of MS Excel
●Flexible perspective as new demands and expectations of the department continues to grow.
