Temporary administrator required to work within a leading University to provide high level administrative support and be the main contact for Postgraduate Research applications and admissions queries, having direct contact with UK and international applicants, current postgraduate research students, academic staff, staff within the Corporate Services and other College administrative staff.

Main Duties
Postgraduate Research Student Admissions
The postholder will be responsible for assisting the application process for the admission to the research programmes. This may include but is not limited to:
• Dealing with queries and processing applications for study in liaison with Postgraduate Admissions Tutors, informing them of relevant information including urgent action required, minimum requirements, deferred start dates, disabilities and ensuring that appropriate actions are taken
• Liaising with supervisors to assist with admissions decisions and arrange interviews as necessary
• Liaising with Postgraduate Admissions and other relevant Corporate Services for discussions on applications progress/eligibility/funding etc.
• Monitoring progress of applications via the PG admissions systems, ensuring that records are accurately maintained and following up outstanding paperwork or decisions
• Creating statistical information/reports on applications for the School

Postgraduate Research Student Administration
• Advising postgraduate research students and academic supervisors on complex matters such as registration, University regulations and thesis submission
• Maintaining effective and efficient administrative and organisational support for postgraduate research students including keeping records of sickness, maternity and other periods of absence.
• Attendance monitoring and recording of postgraduate research students, ensuring adherence with the Home Office Tier 4 visa requirements for overseas students
• Providing appropriate information and support to the induction of new postgraduate research students, including organising events and training sessions
• Coordinating postgraduate research teaching/demonstrating work, including supporting academic members of staff with allocation of duties, liaising with HR and Worklink to issue appropriate advice and documentation to students, and checking and processing payments for work
• Making arrangements for postgraduate researchers who are in receipt of funding, including liaising with the Finance Office to ensure relevant payments are made over the right period of time and creating/maintaining studentship records on the Research Council database (Je-S)
• Coordinating the annual review process, ensuring the completion of all documentation and chasing supervisors where necessary to ensure students can progress to the next year
• Liaising with Registry in respect of viva examinations and making the necessary internal arrangements
• Producing statistical information/reports on current students for the College and external bodies such as research councils
• Supporting organisation and delivery of postgraduate research student experience related events/activity
• Disseminating information relevant to postgraduate research students as appropriate

Other Duties
• Contributing to general school administrative matters such as dealing with the post and reception duties
• To answer telephone calls and email enquires that come into the department in a polite and professional manner, resolving them wherever possible or directing queries where appropriate
• To ensure that all enquiries are dealt with efficiently and effectively and to take ownership and responsibility for queries, ensuring they are seen through to resolution.
• The postholder will interact directly with students and will therefore need to be able to provide general advice to students, knowing when to refer complex queries to senior staff
• Participating in working groups as required
• Servicing meetings as required
• Ensuring a high level of confidentiality is maintained within the Team

Experience required
Proven experience of successful working in a customer service based environment
Experience of working in higher education and familiarity with University procedures, policies, structures and systems (desirable)
Significant experience of working within an office environment
Evidence of good IT skills and proficiency use of computer systems and packages, including Microsoft Office, word-processing, databases and spreadsheets
Good verbal and written communication skills; ability to communicate effectively with staff at a variety of different levels and from different professional backgrounds
Ability to use judgement to prioritise workload and work to tight deadlines appropriately without supervision
Ability to adapt to changing priorities and timescales as necessary
