Hours of Work: Monday to Friday, 8.00 am to 4.30 pm or 8.30am to 5pm
I am looking for an Admin Assistant to join a manufacturer in Stonehouse.
We are looking for a candidate who can utilise a good level of data entry skills with an administration background.
We are looking for a candidate who can process orders & quotes and look after the associated admin whilst also delivering first class customer service.
The successful candidate will also be dealing with all customer queries / complaints.
Responsibilities of the Admin Assistant:
o Process requests for quotes / orders, ensuring information is accurate
o Contact customers, where necessary, with any queries and keeping them informed of updates. Seek written confirmation from customers if there are any changes to the original order/quotation
o Raise orders for all bought in materials after completion of processing
o Ensure all customer orders are scheduled in line with lead times, delivery methods and their requirements
o Check quotes / orders processed by colleagues in a thorough and systematic way, highlighting any required amendments
o Collate work into batches using the orders then print all necessary documentation
o On completion of the job, file all paperwork into jobs ready for invoicing
o Deal with and resolve any customer complaints to both the customers and company's satisfaction
o Undertake all required administration, filing, system housekeeping etc
o Proactively contact customers when planned deliveries will not be achieved
o Drive continuous improvement opportunities that will benefit both the customer and company
o Achievement of KPI's and targets
Requirements to become the Admin Assistant:
" Need to be self-motivated, courteous and have a good telephone manner.
" Accurate in data entry with an admin background
" A self-motivated team player
" Observant with the ability to spot discrepancies
" Able to work under pressure
" A good communicator
" Challenges the norm with the view to driving continuous improvement
